We all know we need to improve our computer and network security. But we often forget that printers are now smart and connected. Basically, they’re another computer on the network. Therefore, we all need to take notice and insure we improve security on our printers. The exact steps will vary depending on the brand, size, complexity, connection type and features of each printer. But, below are several steps you can take to get started.
- Network – secure it
Make sure you have a strong password on your WIFI network and that your entire network has properly configured firewalls. And encryption is used when available and feasible. - Printer – user authentication
Setup user authentication on the printer if available to protect documents in queue and once printed. Set the default/admin/setup access password on the printer with a new strong password. - Printer – updates
Make sure you check the printer for updates every month or at lease every quarter. Put it on the IT schedule/calendar. - Encryption – encrypt the connection
The WiFi connection to a printer should be encrypted using WPA or WPA2. - Encryption – encrypt the data
If the printer stores data locally, make sure you configure it to encrypt the data and purge it once the printing is complete. - Power Off – as a last resort
If you do detect a breach via the printer, you can power the printer off to prevent further loss of data. - Print outs – secure them
You may need to secure the forms being used for printing and the documents being generated. Consider placing the printer in a room or closet that requires secure access or use secure input trays and output bins. - Instructions – read the manual
Many printers have configuration instructions on how to secure the printer and data, it would be wise to read them.
